Introduction

Podillia Avia ("we", "us", "our") operates this website and the associated pilot portal at pcrew.podillia-va.com (together, the "Service") for the purposes of a flight simulation virtual airline. This Policy explains what information we collect from visitors and registered pilots, how we use it, and the choices you have.

Podillia Avia is a hobby project for the flight simulation community. We are not a real airline, and no information collected here relates to actual air travel.

Information We Collect

Account Information

When you register a pilot account, we collect:

  • User name and email address
  • Password (stored as a secure hash — we never store your plain-text password)
  • Declared country of residence
  • VATSIM CID
  • Optional profile details you choose to add (e.g. home airport, timezone, discord username)

Flight & Career Data

As part of normal use of the Service, we store:

  • PIREPs (pilot reports) you submit, including flight times, routes, and aircraft flown
  • Flight bids and booking history
  • Rank, hours, and other career-progress statistics

Technical Information

Like most websites, our server automatically logs certain technical data:

  • IP address
  • Browser type and device information
  • Pages visited and timestamps, for basic error and security logging

How We Use Your Information

We use the information above to:

  • Create and maintain your pilot account
  • Operate the flight scheduling, PIREP, and ranking systems
  • Communicate with you about your account or Service updates
  • Maintain the security and integrity of the Service
  • Improve the Service based on how it's used

We do not sell your personal information, and we do not use it for advertising.

Cookies

The Service uses cookies necessary for basic functionality, such as keeping you logged in between visits. We do not use cookies for third-party advertising or cross-site tracking.

Third-Party Services

The Service integrates with a small number of external services in order to function:

  • SimBrief — for generating flight plans and briefings linked to your flights
  • VATSIM — if you connect a VATSIM CID, to verify your identity on the network
  • Discord — if you link your Discord account, for community and role-syncing purposes
  • Google Fonts — used to load the typefaces on this website

Each of these services has its own privacy policy governing how they handle data. We encourage you to review them directly.

Data Sharing & Disclosure

We do not share your personal information with third parties, except:

  • With service providers who help us operate the Service (e.g. our hosting provider), strictly to the extent needed to provide that service
  • If required to comply with a legal obligation
  • To protect the rights, safety, or property of Podillia Avia, our pilots, or others

Some information — such as your callsign, rank, and flight statistics — is visible to other logged-in pilots as part of the normal operation of a virtual airline community.

Some information — such as your first name and home airport may be visible to non logged-in users of Pilot Portal. This issue is to be fixed in the future, please contact Podillia Avia VA admin if you have any concerns about this.

Data Retention

We retain your account and flight data for as long as your account remains active. If you request account deletion, we will remove your personal information within a reasonable timeframe, except where we are required to retain certain records for legal or security reasons.

Your Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your account and associated data
  • Request a copy of your data in a portable format

Podillia Avia is a hobby project and does not have a dedicated data protection officer, but we will make reasonable efforts to respond to any requests to exercise these rights. Please note that we may need to verify your identity before fulfilling certain requests.

According to VATSIM grandfather clause, current users aged 13-15 are allowed to use the Service, but we do not accept new users under 16.
